What this website collects, why, who else sees it, and how long it is kept.
Who we are
HUBIQ HOLDINGS LTD, trading as HubIQ, is the data controller for this website. We are registered in England and Wales, company number 15994379. Our registered office is 2 Fauna Close, Stanmore, Middlesex, HA7 4PX, United Kingdom.
For anything on this page, including any request about your data, write to hello@hubiq.co.uk. That inbox is read by the three HubIQ directors and nobody else.
Gideon Bullock is the named individual accountable for data protection, security and our use of AI. We are not required to appoint a statutory Data Protection Officer and have not done so.
What this notice covers
This page covers hubiq.co.uk only. Products built by HubIQ initiatives, such as TENANTIQ or MEDIQ, are separate services with their own privacy notices.
The site is a set of static files. There is no account, no login, no form, no payment and no profiling. We do not build a profile of you, we do not sell or share data for marketing, and there is no automated decision-making of any kind.
What happens when you visit
Our host records requests
The site is hosted by Vercel Inc. Like any web host, Vercel logs the technical information needed to serve pages and defend against abuse, including your IP address, which is personal data under UK GDPR. We do not download, export or keep our own copy of these logs, and we do not use them for analytics or combine them with anything else. Vercel holds them under its own retention schedule as our processor and deletes them when they are no longer needed to run and protect the platform.
Lawful basis: legitimate interests, Article 6(1)(f). Our interest is in operating a secure and available website.
We count visits
We use Vercel Web Analytics. It sets no cookies and stores nothing on your device. Instead, Vercel creates a hash from your incoming request so it can tell a returning visitor from a new one, and discards that hash after 24 hours. It cannot be used to follow you to another website.
Vercel records the following with each page view:
- The time, the page address and the page you arrived from
- Approximate location, to city level, from your IP address
- Browser, operating system and whether you are on mobile, tablet or desktop
Vercel does not store your IP address alongside these records, and this site sends no user identifiers, email addresses or custom events. For the 24 hours the visitor hash exists it is pseudonymous data, which UK GDPR still treats as personal data. After that only aggregate counts remain, which identify nobody and which we keep for as long as the site runs.
Lawful basis: legitimate interests, Article 6(1)(f). Our interest is in knowing whether the site is useful. Because nothing is stored on or read from your device, this does not require consent under PECR.
One setting is saved on your device
The footer carries a control that turns background motion on and off. If you use it, your choice is saved in your browser’s local storage under the key hubiq-motion, with a value of either on or off. That is the only thing this site stores on your device.
It contains no identifier, it is never sent to us or to anyone else, and it is readable only by this website. Clearing your browser data removes it. We treat it as strictly necessary under PECR regulation 6(4), because it exists solely to deliver a setting you asked for, so it does not require consent. One video, and only if you press play
The Our story page carries a TED talk. It does not load until you press play. Until then no request is made to TED and your IP address is not shared with them. If you do press play, TED receives your IP address and sets their own cookies, under their terms rather than ours. The button says so before you press it.
If you email us
If you write to hello@hubiq.co.uk we hold your message, your address and our reply for 24 months after the last message in the thread, then delete it. Where the exchange forms part of a contract we keep it for six years, which is the ordinary limitation period in England and Wales. Our email is provided by Google Workspace, acting as our processor.
Lawful basis: legitimate interests, Article 6(1)(f), in replying to people who contact us. If we go on to do business together, performance of a contract, Article 6(1)(b).
Who else sees your data
Only the suppliers we need to run the site and our email. We do not sell, rent or share personal data for marketing.
- Vercel Inc. hosting, request logs and cookieless analytics.
- Google LLC (Google Workspace). our email.
- TED Conferences LLC. only if you press play on the video.
Some of these suppliers are based outside the UK. Where personal data is transferred internationally it is protected by the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
Your rights
Under UK GDPR you can ask us for a copy of any personal data we hold about you, ask us to correct or delete it, ask us to restrict how we use it, and object to processing carried out under legitimate interests. Ask at hello@hubiq.co.uk and we will respond within one month.
The right to data portability does not apply here, because it covers data processed by consent or under a contract, and we rely on neither for anything described above. There is no consent to withdraw, for the same reason.
In practice there is very little for us to give you. We hold no account, and the request logs sit with our host rather than with us. If you email us and ask, tell us the address you wrote from so we can find the thread.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk, though we would rather you told us first so we can put it right.
Changes to this notice
If we add a contact form, a login, any kind of tracking, or anything else that changes what is described here, we will update this page and the date at the top before it goes live, not after.
